Does servicing a heat pump affect the warranty?

The practical consequence is that the service is not optional housekeeping. It is a term of the contract that covers the equipment. Miss it, or have it done by someone the maker does not accept, and the cover can fall away even where the fault has nothing to do with maintenance.

Servicing and the warranty: what the terms actually require

A heat pump installation typically carries two layers of guarantee: a manufacturer's warranty covering the equipment itself, and an installer's guarantee covering the quality of the workmanship and the installation as a whole¹⁰. The two have different conditions, different durations and different people to claim against, and the servicing obligation sits mainly on the manufacturer's side.

The manufacturer's condition is usually written as an annual service by a competent engineer. Ideal Heating's terms set out the requirement precisely: at the end of each 12-month period after commissioning, the heat pump must be serviced by a suitably competent heat pump engineer in accordance with the process in the manufacturer's instructions, and should this condition not be met the heat pump warranty will lapse³. Vaillant's guarantee requires annual servicing by the Vaillant Service organisation or another suitably competent engineer with valid qualifications and certification, and states that if the heat pump has not been serviced annually the guarantee becomes invalid⁹. Daikin advises that missed maintenance may void coverage, while annual servicing by qualified installers or engineers maintains warranty eligibility⁴.

Official guidance points the same way. The Boiler Upgrade Scheme installer guidance notes that regular servicing is often a requirement of guarantees and warranties¹¹. Commissioning is a separate warranty condition again: Daikin lists commissioning as "required for warranty validity", which is why the handover paperwork matters as much as the service book¹².

There is a wider reason the terms are strict. The government's clean heat market report found that owner-occupiers were particularly exposed once warranties expired, which is the point at which an unserviced system becomes an uninsured one¹³. For a household, the warranty is part of what makes the switch to a heat pump financially survivable: it transfers the risk of an early compressor or control failure to the manufacturer, but only while the conditions are met.

Annual servicing: the condition most makers attach

The annual service is the single condition that appears across every maker's terms. Ideal Heating states that ensuring annual servicing is usually a condition of the warranty, keeping the owner covered should issues arise¹⁴. Grant states that its heat pumps should be serviced annually in order to comply with the product guarantee terms and conditions¹⁵. Vaillant's water source heat pump guidance notes that maintenance intervals must be observed in order to maintain the warranty¹⁶.

The interval is consistent: once a year. The Energy Saving Trust advises getting an engineer to service the heat pump according to the manufacturer's advice, usually once a year⁶, and its moving-house checklist repeats the annual figure². A documented case study of a UK household with solar panels and a heat pump records that they get the heat pump serviced once a year¹⁷.

What differs is how the requirement is enforced. Some terms say the warranty "will lapse" if the service is missed³; others say the guarantee "will become invalid"⁹; others use softer language about maintaining eligibility⁴. The distinction matters if a claim is ever disputed, because a warranty that has lapsed is harder to argue back into life than one where a single condition has been breached. The safest reading of any of these wordings is that the service is compulsory, not advisory.

What heat pump warranties cover, and for how long

Cover varies more than the servicing rule does. Home Energy Scotland reports that most systems come with a two to three-year warranty, and that these can often be extended for a fee⁸. Workmanship warranties are often longer and can cover up to 10 years⁷. Vaillant's guarantee covers parts and labour against manufacturing defects for the first 12 months from installation¹⁸, and its repair service guarantees fitted parts for 12 months with labour covered for 90 days¹⁹.

Coverage is not uniform. Ideal Heating states that its heat pump warranties cover full parts and labour²⁰, while the same source notes that heat pumps usually vary depending on the manufacturer and model, with many covering parts only²⁰. Ideal Heating's own exclusions list is long: the warranty does not apply if the registered product is removed from its place of installation without prior consent, to defects caused by inadequate servicing, deliberate action, accident, misuse or third-party interference, to defects caused by the design, installation and maintenance of the central heating system, to de-scaling or hard water scale damage, to damage caused by freezing, to aesthetic degradation not affecting functionality, or to defects from incorrect installation³.

That list is worth reading before buying rather than after a fault. Several of the exclusions, particularly inadequate servicing and central heating system maintenance, are exactly what an annual service is designed to evidence.

Who can service the heat pump: maker rules and competent engineers

Servicing and repair of heating equipment is not covered under building regulations, but should always be done by a competent person²². Installation is a different matter: the installation of heat pumps and associated heating systems is work covered by building regulations and should only be undertaken by competent technicians who have undertaken appropriate training and assessment²³. Approved Document L puts the duty plainly, requiring the installer to install and commission the system to the standards set out in the approved document, and stating that the person carrying out the work should be suitably competent²³.

For servicing, the maker's terms decide who is acceptable. Ideal Heating requires a suitably competent heat pump engineer working to the manufacturer's instructions³. Vaillant accepts its own service organisation or another suitably competent engineer with valid qualifications and certification⁹. Good Energy states that a heat pump can only be serviced by engineers accredited or trained with the heat pump manufacturer²⁴. That is a narrower rule than the others, and it means the answer to whether an independent engineer can service a particular unit depends on the brand.

Most manufacturers and industry bodies recommend an annual professional service by a qualified engineer²⁵. The practical step is to confirm the maker's requirement before booking anyone, and to check the engineer's accreditation against the brand's list. What a service involves and what it costs

The Energy Saving Trust lists the tasks in a service: cleaning coils, cleaning fan blades, inspecting filters, checking refrigerant level and pressure, and checking that all electrical connections are safe¹. Ideal Heating describes an annual professional service that includes checks of refrigerant levels, electrical connections and more, typically costing a few hundred pounds²⁵.

Servicing is quoted by the engineer or company doing the work, and the figure will reflect the type of heat pump, its location and what the visit uncovers. For context on the capital side, the Energy Saving Trust puts typical heat pump costs at around £11,700 on average²⁶, and Smart Energy GB gives a range of £14,000 to £28,000 in Great Britain depending on type²⁷. A service is a small annual sum against that outlay, which is the argument for treating it as part of the ownership cost rather than an optional extra.

Before booking, it is worth establishing what the warranty covers, who is responsible for servicing, and whether the manufacturer offers remote monitoring for troubleshooting, since remote diagnostics can sometimes resolve an issue without a visit²⁸.

Servicing records, F-gas rules and keeping the warranty valid

The service has to be evidenced. Vaillant's condition is that the service is carried out by its service organisation or another suitably competent engineer with valid qualifications and certification⁹, which means the record needs to show who attended and what they held. Refrigerant rules add a second layer. From 1 January 2026, F-gases with a global warming potential of 2,500 or more are restricted for servicing air-conditioning equipment and heat pumps, a restriction that applies in the EU²⁹. Its Lifetime Warranty instead provides continuous warranty protection for as long as the heat pump remains installed at the property, kept valid by maintaining the subscription and allowing an annual service³⁰.
